Information you provide
Astraldent collects the details you submit when requesting a clinic workspace or contacting us: your name, work email, phone number, clinic name and address, team size, current system, selected plan, requested workspace name, licence document and enquiry content. We also record the time and version of your acceptance of our terms, and your optional product-update preference.
Why we collect it
We use these details to respond to you, verify that the clinic and its representative are authorised, reserve a requested workspace name, arrange onboarding and operate the service. A signup request does not automatically create a live clinic workspace or payment subscription.
Product-update emails are optional and separate from communications needed to handle your signup or provide the service. You may withdraw from optional updates through our contact page.
Licence documents
We use your uploaded licence or registration certificate to verify your clinic. Documents are stored outside the public website files and are not published or attached to signup notification emails. Access is restricted to authorised verification and operational work. Please upload only the document needed for verification, without patient information.
Website operation and service providers
Hosting, storage, email and support providers may process information needed to operate the website and respond to requests. We do not sell signup information. We may disclose information where required by law or needed to protect against misuse. Necessary session cookies support forms, error messages and security; they are not an invitation to submit patient records through this website.
Retention and security
We retain signup and verification information while assessing your request, arranging onboarding and meeting applicable business or legal obligations. Unsuccessful or withdrawn requests and their documents are reviewed for deletion when no longer needed. Retained backups follow the applicable backup lifecycle. We use access restrictions and private storage, but cannot promise absolute security.
Your choices and questions
You may request access to or correction of your signup details, withdraw optional marketing consent, or request deletion where applicable. Some information may need to be retained to satisfy legal obligations. Use the contact page. We may verify your identity before responding to a request.
Patient records and clinic workspaces
This notice covers the public website and clinic verification. Before onboarding live patient records, the clinic receives separate service and data-handling terms covering its workspace. The clinic remains responsible for its lawful collection and use of patient information. Do not include patient data in signup documents or public enquiries.
